I am going to explain the steps to send personalized emails
to a huge group of receipts by looping people\groups in an email CC. Though,
there is no straightforward technique for doing so. But there is one trick that
functions like a charm. The trick is that we will create a new outlook rule
which indicates whenever we send an email with the specific subject line, it
will automatically include certain group\people in the CC.
Steps to create this new rule in Outlook
1. Go to Rules in the menu bar and select Manage Rules & Alerts.
2. Then a dialogue box will appear. Click on the New Rule
and choose Apply rule on messages I send in the following wizard (refer
to the below screenshot) and Click Next.
3. In the subsequent window, tick the first line, which says with
specific words in the subject line in Step 1 and click on a specific
word from Step 2 (Refer to the below screenshot).
4. On clicking Specific word, you will get a new window
where you need to add the same Subject line which you are going to use for your
Mail-merge. For instance, in our article (How
to do a Mail-Merge in MS Office), it is New hire Update
so we will add the same (Refer to the below screenshot). Press Add and
then Ok.
6. After clicking on people or public group, the below
window will appear where you need to choose the list of people\Groups that need
to be added in the CC for your Mail-Merge.
7. There you can search members from your org and add. Once
done, click OK and press Next in the following windows. Now, it will ask you to
specify your rule name in Step 1 and tick a few options in Step 2. Please check
the box for Turn on this rule and click on Finish.
8. That’s it, you are all set. Now once you do a mail merge with this particular subject line, it will automatically add this groups\people to those mails in CC.
